Magento Fulfillment With a 3PL: How Magento 2 and Adobe Commerce Stores Connect, Sync Inventory, and Ship

Short answer: Magento fulfillment with a 3PL works by connecting your Magento Open Source or Adobe Commerce store to the 3PL's system so new orders flow to the warehouse automatically, shipments and tracking numbers flow back to Magento, and inventory quantities stay in sync. The decisions that make or break the connection are Magento-specific: how you model the 3PL in Magento's Inventory Management (sources, stocks and salable quantity), which order statuses trigger fulfillment, and how partial shipments and backorders are handled. Settle those before go-live and a Magento store runs on a 3PL as smoothly as any other platform.

How does a Magento store connect to a 3PL?

Most 3PL connections use Magento's REST API (or an app built on it). The typical flow:

  1. Order import: the 3PL's system pulls orders that reach an agreed status, usually Processing (paid and not yet shipped).
  2. Fulfillment: the warehouse picks, packs and ships the order.
  3. Shipment write-back: the 3PL creates a shipment in Magento with the carrier and tracking number, which moves the order toward Complete and triggers your shipping confirmation email.
  4. Inventory sync: the 3PL pushes on-hand quantities back to Magento on a schedule or in near real time.

How should you set up Magento inventory for a 3PL?

Magento 2.3 and later ship with Inventory Management (formerly Multi-Source Inventory, or MSI), and Adobe's documentation describes four concepts you need to get right:

  • Sources are physical locations that store and ship products, such as a 3PL warehouse.
  • Stocks map a sales channel (a Magento website) to one or more sources.
  • Salable quantity is the total sellable inventory across the sources in a stock.
  • Reservations reduce salable quantity when customers place orders; when the order ships, the reservation clears and the quantity is deducted from a specific source.

Single source or multi-source?

If the 3PL is your only warehouse, the simplest setup is a single source. If you also ship from your own warehouse, a retail store or more than one 3PL node, create a source for each so Magento knows where stock actually sits. Whichever you choose, agree with your 3PL on which source code its inventory updates write to, or quantities will overwrite each other.

Why reservations matter for a 3PL sync

Because Magento holds reservations until shipment, the quantity you see in the admin is not the same as what the warehouse has on the shelf. When the 3PL pushes on-hand counts, Magento recalculates salable quantity by subtracting open reservations. If shipments are not written back promptly, reservations pile up and products can show out of stock while units sit in the warehouse.

Which Magento order statuses should trigger fulfillment?

Agree on this in writing. Common choices:

  • Processing only: the safest default; pending-payment and fraud-review orders never reach the warehouse.
  • Custom statuses: if you use a custom status for orders awaiting personalization or address checks, exclude it from the import filter.
  • Holds and cancellations: decide how a hold or cancellation in Magento reaches the 3PL after import, and the cutoff after which the order cannot be stopped.

What else should a Magento brand test before go-live?

  • Partial shipments: confirm one order can produce multiple Magento shipments with separate tracking numbers.
  • Bundles and configurable products: confirm the 3PL receives the child SKUs it actually picks, not the parent.
  • Backorders: decide whether backordered lines ship later as a second shipment or hold the whole order.
  • Multiple store views and websites: confirm orders from each website import and carry the right packing slip or branding.
  • Shipping method mapping: map each Magento shipping method to a carrier service so expedited orders ship expedited.
  • Returns: decide whether the 3PL creates credit memos or simply reports received returns to your team.

What if you are still on Magento 1?

Adobe ended support for Magento 1 on June 30, 2020, so many modern 3PL connectors no longer support it. If you are planning a platform migration anyway, sequence it with your 3PL move rather than running both at once, so you are not debugging a new store and a new warehouse in the same week. How do you choose a 3PL for a Magento store?

Ask every candidate these questions:

  • Do you support Magento 2 and Adobe Commerce natively, and how many Magento clients do you run today?
  • Which order statuses do you import, and can we change the filter ourselves?
  • Which source code do your inventory updates write to, and how often?
  • Do you write shipments back with tracking for partial shipments?
  • Who owns fixing the connection when an API credential or extension update breaks it?

Frequently asked questions

Does Magento have built-in fulfillment?

Magento manages orders, shipments and inventory records, but it does not pick, pack or ship. You either fulfill in-house or connect a 3PL that does the physical work and writes results back.

Is Adobe Commerce the same as Magento?

Adobe Commerce is the paid edition of Magento; Magento Open Source is the free edition. Both use the same core order and inventory model, so a 3PL that supports Magento 2 typically supports both.

What is salable quantity in Magento?

It is the quantity Magento will let customers buy through a sales channel, calculated from the sources assigned to that channel's stock minus open reservations.

How often should a 3PL sync inventory to Magento?

Often enough that you do not oversell during peak hours. Ask the 3PL for its sync frequency and whether it pushes updates after receiving and adjustments, not only on a schedule.

Can a 3PL handle Magento B2B orders?

Usually, as long as the 3PL can import those orders and follow any retailer requirements for the shipments. Confirm how purchase-order numbers and special packing instructions pass from Magento to the warehouse.
