The Real Cost of Switching 3PLs and How to Budget for It

Short answer: Switching 3PLs costs money in six places: exit fees at your current warehouse, freight to move inventory, receiving at the new warehouse, setup fees, a period of paying both providers, and a buffer for stockout risk. For a brand moving 24 pallets, the worked example below comes to about $3,100 in one-time costs, with freight the largest line. Budget it before you give notice, and compare it with what the new 3PL saves you each month.
What one-time costs come with switching 3PLs?
This article covers the money. For the operational steps to move without downtime, see how to switch 3PL providers.
| Cost line | Where to get the number | Benchmark, if any |
|---|---|---|
| Removal or outbound fees at the old 3PL | Your current contract or rate card | No reliable public benchmark; often per pallet or carton |
| Freight between warehouses | LTL or truckload quotes | Depends on pallet count and distance |
| Receiving at the new 3PL | New 3PL's quote | $10.52 per pallet survey average |
| Setup or onboarding fee | New 3PL's quote | $333 to $425 average; 51% of warehouses charge one |
| Overlap storage | Both rate cards | $20.17 per pallet per month survey average |
| Minimum billing during wind-down | Your current contract | $517 per month survey average |

What does a switch cost? A worked example
Assumptions, stated explicitly: a brand holds 24 pallets of inventory. The old 3PL charges an assumed $10 per pallet to pull and load stock out. Freight is an assumed $1,500 quote, because real quotes vary too much by lane to benchmark. Half the stock stays at the old warehouse for one extra month while the new one ramps up, and the old 3PL bills its minimum for that month because volume drops. All other rates are survey averages.
| Line | Calculation | Cost |
|---|---|---|
| Removal at old 3PL (assumed rate) | 24 pallets × $10 | $240.00 |
| Freight (assumed quote) | One move | $1,500.00 |
| Receiving at new 3PL | 24 pallets × $10.52 | $252.48 |
| Setup fee | Survey average, low end | $333.00 |
| Overlap storage at old 3PL | 12 pallets × $20.17 × 1 month | $242.04 |
| Minimum billing at old 3PL | One wind-down month | $517.00 |
| Total one-time cost | $3,084.52 |
If the new 3PL charges no setup fee, the total drops to $2,751.52. Notice what is not in the table: your team's time on integrations and SKU data, and the cost of a stockout if inventory is in transit when orders arrive. Hold a contingency for both.
How do you know if switching pays for itself?
Divide the one-time cost by the monthly saving. If the new 3PL lowers your all-in cost by $0.50 an order and you ship 1,500 orders a month, that's $750 a month, and the $3,084.52 switch pays back in a little over four months. To estimate the shipping part of the saving, the free Order History Analyzer compares your current cost per order with estimated Atomix Ground or Economy rates from Milwaukee, Baltimore or Salt Lake City, based on your order export (before carrier surcharges). Compare the rest of the invoice line by line with our 3PL pricing guide.
How can you lower the cost of switching?
- Read your exit terms first. Notice periods and removal fees decide your move date. Our 3PL Switching Timeline Planner turns your end date and notice period into a dated plan.
- Sell down slow stock before the move so you don't pay to remove, ship and receive it.
- Consolidate onto full pallets with SKU labels and an advance ship notice so receiving is billed per pallet, not per hour.
- Shorten the overlap by moving fast sellers first and cutting over by channel.
- Negotiate setup fees. Ask the new 3PL to waive onboarding or credit it against early invoices.
What should you ask a new 3PL about switching costs?
- Is there a setup or onboarding fee, and what does it cover?
- How is inbound from another warehouse billed: per pallet, carton or hour?
- How long from delivery until stock is available to sell?
- Will my store and marketplace integrations be live before inventory arrives?
- What are your own exit terms, in case I ever leave?
Atomix includes onboarding at no added cost and states that go-live takes 14 days or less depending on complexity, with no order volume minimums, per its fulfillment pricing page. On compliant inbound shipments, Atomix reports dock-to-stock averaging 48 hours or less, as noted in our pick and pack guide. If you're still deciding whether to move at all, start with when to switch third-party fulfillment providers and our questions to ask a 3PL before signing.
Frequently asked questions
How much does it cost to switch 3PLs?
It depends mostly on how much inventory you move and how far. In the worked example in this article, a brand moving 24 pallets budgets about $3,100 in one-time costs, with freight the largest line. Get real quotes for freight and removal fees before you commit.
Will I pay two 3PLs at the same time?
Usually, for a few weeks. During the overlap, stock is stored in both warehouses and the old 3PL may bill its monthly minimum even as volume falls. Plan the overlap length up front so you can budget it.
Do 3PLs charge to remove inventory?
Many do. Outbound or removal fees are often billed per pallet or carton, and contracts may require advance notice. Check your current agreement for exit terms before you set a move date.
Does a new 3PL charge an onboarding fee?
About half of warehouses charge a setup fee, averaging $333 to $425 in the 2025 survey. Atomix includes onboarding at no added cost, according to its pricing page.
How long does switching 3PLs take?
Our switching guide puts most migrations at a few weeks from start to the last order shipped from the old warehouse. Atomix states that go-live takes 14 days or less depending on complexity.
